These Terms of Service ("Terms") govern your access to and use of the AuditCore platform and services. By creating an account, starting a free trial, or purchasing a subscription, you confirm that you have read, understood and agree to be bound by these Terms, our Privacy Policy and our Acceptable Use Policy. If you are accepting on behalf of an organisation, you represent that you have authority to bind that organisation.

2. Service Description
AuditCore is a cloud-based internal audit management platform for UK food manufacturers and animal feed producers. It provides digital tools for:
- BRC Issue 9 system audit scheduling, execution and reporting
- GMP inspection management with configurable templates
- Non-conformance management with two-phase CAPA workflow
- Corrective and preventive action tracking with independent verification
- Annual audit programme planning and risk-based scheduling
- Management review PDF generation
- NC pattern intelligence and trend analysis
Important: AuditCore is a record-keeping and management tool. It does not provide legal, regulatory or professional food safety advice. It does not guarantee any specific audit outcome, BRC certification result, or regulatory compliance. You remain solely responsible for the safety of your food products and compliance with all applicable laws and regulations.
3. Your Responsibilities
You are responsible for:
- The accuracy, completeness and appropriateness of all data you enter into the platform
- Ensuring your internal audit programme is reviewed and managed by appropriately qualified personnel
- Taking all corrective actions identified through the system within required timescales
- Maintaining compliance with all applicable food safety legislation and BRC requirements
- Managing user access and ensuring appropriate role permissions are assigned
- Keeping your account credentials secure and not sharing them with unauthorised users
4. Free Trial
We offer a 14-day free trial with full access to all features. No credit card is required to start a trial. Trial accounts may be extended at our discretion. The service during trial is provided "as is" with no warranties. We may modify or discontinue trial features at any time without notice.
Data created during the trial is preserved if you subscribe. If you do not subscribe, your data will be held for 90 days before permanent deletion.
5. Subscription and Payment
Pricing: AuditCore is priced per site, per month, based on the number of users at that site. Starter (up to 5 users): £59/site/month. Standard (6–20 users): £99/site/month. Professional (21+ users): £149/site/month. "Site" means one physical manufacturing or processing location. All prices are in GBP and exclude VAT where applicable.
Payment: Card payments are processed securely by Stripe. We do not store your card details. Invoice payments are available for annual subscriptions on 30-day payment terms.
Renewal: Subscriptions renew automatically at the end of each billing period. You may cancel at any time before the next renewal date.
Refunds: Monthly subscriptions: no refunds for partial months. Annual subscriptions: 30-day money-back guarantee from the date of first payment.
6. Service Availability
We aim to provide high availability but do not guarantee uninterrupted service. We may perform maintenance with reasonable notice. We are not liable for any loss arising from service interruption outside our control.
7. Intellectual Property
All intellectual property in the AuditCore platform — including software, design, documentation, audit question libraries, and templates — remains our exclusive property. Your subscription grants you a non-exclusive, non-transferable licence to use the platform for its intended purpose during the subscription period.
Your data remains yours. We claim no ownership of any content, audit records, or other data you create or upload.
8. Data and Privacy
Your data is processed in accordance with our Privacy Policy and the UK Data Protection Act 2018 / UK GDPR. You may export your data at any time using the platform's built-in export features. Upon cancellation, we will hold your data for 90 days before deletion unless you request earlier removal.
9. Limitation of Liability
To the maximum extent permitted by law:
- We are not liable for any audit failure, loss of BRC certification, regulatory action, product recall, or any other consequence arising from your use of or reliance on the platform
- We are not liable for any indirect, incidental, special or consequential damages
- Our total liability for any claim is limited to the fees you have paid in the 12 months preceding the claim
Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
10. Termination
You may cancel your subscription at any time. We may suspend or terminate your account if you breach these Terms or the Acceptable Use Policy, fail to pay fees when due, or become insolvent. On termination, your access will cease but your data will be available for export for 90 days.
11. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes by email at least 30 days before they take effect. Continued use of the platform after the effective date constitutes acceptance of the updated Terms.
12. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.
